The OECD collects registration data from event participants to organise and administer the event. This may include name, contact details, affiliation and other background information, as well as event participation choices and dietary or accessibility requirements.
For speakers, moderators or panellists, additional personal data such as biographies, photographs, affiliations and presentation materials may be collected and used for the preparation of event agendas, materials and related communications.
Where necessary for the event, registration data may also include travel, passport and related information to facilitate travel and visas arrangements as well as to support event security and access controls. Such information is collected only where relevant to the specific event arrangements and used only for those purposes.
Registration data may be shared with co-organisers, hosts and contracted service providers where necessary for event management, access control, participant support, communications or related event arrangements.
Registration data is processed through OECD-managed systems and event platforms, including platforms operated by service providers on behalf of the OECD. These include Inwink (France), Microsoft (Ireland) and Zoom (Germany). For virtual or hybrid events, the platform activity data of participants may be processed to enable access to event content and interaction with other participants.
Personal data related to event participation is retained for as long as necessary to organise the event and carry out related follow-up activities, in accordance with OECD retention policies.
